Terms of Service

The agreement between you and Zaplog Inc. — what you may do with the Services, what you keep, what we may do, and how disputes are resolved.

These Terms of Service (the "Terms") are a binding agreement between you and Zaplog Inc., a corporation with its principal place of business in Chicago, Illinois ("Zaplog", "we", "us", "our").

They govern your use of the Zaplog apps for Android and iOS, the Zaplog web and desktop clients, the website at zaplog.ai, the invite domain zaplog.net, and all features and services we provide (together, the "Services").

1. Accepting these Terms

You accept these Terms by creating a Zaplog account, by tapping "Agree and continue" during onboarding, or by using the Services. If you do not agree, do not use Zaplog.

Our Privacy Policy is incorporated into these Terms by reference. Together they are the entire agreement between us about the Services.

If you use Zaplog on behalf of an organisation, you represent that you have authority to bind that organisation, and "you" includes that organisation.

Additional terms. Some features may have supplementary terms or guidelines presented when you use them. Where they conflict with these Terms, the supplementary terms control for that feature only.

2. Eligibility and age requirements

To use Zaplog you must:

  • Be at least 13 years old;
  • Be at least 16 years old if you are in the European Economic Area, the United Kingdom, or any other country whose law sets the digital-consent age at 16 or higher — in which case the higher local age applies;
  • Be at least 18 years old to create a Room;
  • Not be barred from using the Services under the laws of your country or the United States, including sanctions and export-control laws;
  • Not have been previously removed from Zaplog for a violation of these Terms, unless we have expressly reinstated you.

We ask for your date of birth at sign-up. Providing a false date of birth is a breach of these Terms and grounds for termination. Your date of birth cannot be changed in the app after onboarding; contact support@zaplog.ai if you entered it incorrectly.

If you are between the minimum age and the age of majority where you live, you confirm that your parent or legal guardian has reviewed and agreed to these Terms on your behalf.

3. Your account

3.1 Registration

Zaplog accounts are registered with a phone number and verified with a one-time code sent by SMS or voice call. There is no password. You may optionally add and verify an email address.

One account works across every platform. The web and desktop clients are signed in by scanning a pairing code that you approve on your phone — there is no separate web login — and you can revoke a paired client at any time from Settings → Linked devices.

You must provide accurate information and keep it current. You are responsible for maintaining control of the phone number registered to your account.

3.2 Your phone number is your account

Because your phone number identifies your account:

  • If you change your number, update it in Zaplog before you give up the old one.
  • If you give up a number, the account associated with it may become accessible to whoever the carrier assigns that number to next. We are not liable for the consequences of recycled numbers. Delete your account before releasing a number if it holds anything you would not want a stranger to reach.
  • Carrier message and data rates apply to verification messages.

3.3 Security and linked devices

You are responsible for activity on your account. You must:

  • Keep your device secured with a lock screen;
  • Only approve device-pairing QR codes you initiated yourself;
  • Review Settings → Linked devices periodically and revoke devices you do not recognise;
  • Notify us at support@zaplog.ai promptly if you believe your account has been compromised.

Registering your account on a new primary phone revokes all other linked devices.

3.4 One person, one account

Accounts are personal. Do not share your account, sell it, transfer it, or let someone else use it. Do not create accounts by automated means, and do not create a new account to evade a suspension or ban.

3.5 Deleting your account

You may delete your account at any time from Settings → Account → Delete account. A 30-day grace period applies, during which signing in again cancels the deletion. See the Privacy Policy for what happens to your data, including that Rooms posts are retained and re-attributed to a deleted-account placeholder, that Rooms you created transfer ownership, and that messages already delivered to other people's devices cannot be recalled by us.

4. What Zaplog is

Zaplog is a personal intelligence platform combining several products under one account. As of the effective date these are:

Where Zaplog runs. Zaplog is available as an app for Android, an app for iOS, and a web and desktop client. One account covers all of them, and your content syncs between them.

Platforms are not identical, and some differences are imposed by the operating system rather than chosen by us:

A feature being available on one platform does not mean we have committed to bringing it to the others.

We may add, change, suspend or discontinue any feature at any time. Where a change materially reduces the Services, we will give reasonable notice where practicable.

5. Your content and the licence you give us

5.1 You own your content

"Your Content" means everything you create, upload, post, send or store through Zaplog — messages, photos, videos, voice notes, Stories, Room posts and comments, files, notes, planner entries, health logs, stickers, prompts and anything else.

You keep all ownership rights in Your Content. These Terms do not transfer ownership of anything you create.

5.2 The licence you grant us

To operate Zaplog, we need permission to handle Your Content. You grant Zaplog a worldwide, non-exclusive, royalty-free, sublicensable licence to host, store, reproduce, transmit, adapt (for example, to transcode a video, generate a thumbnail, or resize an image), display and distribute Your Content — solely to the extent necessary to provide, secure and improve the Services for you and for the people you share it with.

This licence is limited by what we can technically do:

  • For end-to-end encrypted content in Chats, we hold ciphertext. The licence covers transmitting and storing it.
  • For content you post publicly — for example in a public Room — the licence extends to displaying it to the audience you chose, and permits other users to view, quote and interact with it through the Services' features.

5.3 Scope and termination of the licence

The licence ends when you delete Your Content or your account, except:

  • for content you shared with others, to the extent they retain copies through their own use of the Services;
  • for Rooms posts and comments retained and anonymised as described in section 3.5, so that conversations others participated in remain intact;
  • for content retained in backups, which rotate out within 90 days;
  • for content we must retain for legal, safety or moderation purposes.

5.4 We do not use Your Content to train AI models

Zaplog does not use Your Content to train AI models, and does not permit our AI provider to do so. Content sent to our AI provider is processed to produce your requested output and is not used for third-party model training.

5.5 Your responsibilities for Your Content

You represent and warrant that:

  • You own Your Content or have all rights necessary to grant the licence above;
  • Your Content does not infringe anyone's intellectual property, privacy, publicity or other rights;
  • Your Content and its use do not violate any law or these Terms;
  • Where Your Content includes another person's personal information — including contacts you upload — you have a lawful basis to share it with us.

5.6 Feedback

If you send us ideas, suggestions or feedback, you grant us an unrestricted, perpetual, irrevocable, royalty-free right to use them without obligation or compensation to you.

6. Acceptable use

6.1 You must not

Use Zaplog to create, upload, send, post, store, share or facilitate any of the following:

Content harming children

  • Child sexual abuse material, or any sexualisation of minors, in any form, real or generated.
  • Grooming, solicitation, or any attempt to sexualise, exploit or endanger a minor.
  • Content that endangers a child's physical or emotional wellbeing.

We report child sexual abuse material to the National Center for Missing & Exploited Children and to law enforcement, and we terminate the accounts involved without warning.

Violence and dangerous organisations

  • Threats of violence, incitement to violence, or glorification of violence.
  • Terrorist content, or content supporting or promoting terrorist or violent extremist organisations.
  • Content promoting or coordinating violent criminal activity.

Harassment and hate

  • Harassment, bullying, stalking or targeted abuse.
  • Hate speech, or content attacking people based on race, ethnicity, national origin, caste, religion, sex, gender identity, sexual orientation, disability or serious disease.
  • Coordinated brigading or pile-ons.
  • Doxxing — publishing private information about someone without consent.

Self-harm

  • Content encouraging or instructing self-harm, suicide, or disordered eating.

Non-consensual and sexual content

  • Non-consensual intimate imagery, "revenge porn", or sexual content involving anyone who has not consented.
  • Sexually explicit content in any public surface, including public Rooms, Room names, profile photos, usernames and bios.
  • Sexual services or commercial sexual exploitation.

Illegal goods and activity

  • Sale or facilitation of illegal drugs, weapons, endangered species, stolen goods or counterfeit items.
  • Human trafficking, forced labour or exploitation.
  • Fraud, scams, phishing, pyramid or Ponzi schemes.

Deception and manipulation

  • Impersonating a person, organisation or Zaplog itself.
  • Coordinated inauthentic behaviour, vote manipulation, fake accounts or bot networks (other than Room bots operated openly under section 9.6).
  • Synthetic or manipulated media presented as authentic in a way that is likely to deceive and cause harm.
  • Misinformation that risks imminent physical harm.

Spam and abuse of the platform

  • Unsolicited bulk messaging, mass unsolicited invitations, or repetitive low-value content.
  • Circumventing rate limits, bans, blocks or age gates, including by creating new accounts.
  • Automated scraping, crawling or harvesting of Zaplog content or user data.
  • Reverse engineering, decompiling or disassembling the Services, except where that right cannot be excluded by law.
  • Probing, scanning or testing the security of the Services without our written authorisation, or interfering with their operation.
  • Introducing malware, or using Zaplog to distribute it.
  • Using automated means to create accounts, or using the Services through unauthorised clients or modified versions of the app.

Intellectual property and privacy

  • Infringing copyright, trademark, patent or trade secret rights.
  • Recording or sharing a call or private conversation where doing so is unlawful in your jurisdiction, or without the consent required by law.
  • Uploading someone else's private data without a lawful basis.

6.2 Reporting

Every surface in Zaplog that carries user content has a way to report it. You can report content, Rooms and profiles in-app, or write to support@zaplog.ai. We review reports and take action under section 20.

6.3 Cooperation

You must cooperate with reasonable requests from Zaplog relating to investigations of violations, and you must not retaliate against anyone for filing a report.

7. Chats, calls and end-to-end encryption

7.1 What we can and cannot see

Chat message bodies, attachments, voice and video notes, and call signalling metadata are end-to-end encrypted. We cannot read them with our ordinary server keys.

But you should understand two limits, and we would rather be blunt than clever about them:

  1. Key escrow. So that you can restore your history on a new phone, Zaplog holds an escrowed backup of your account archive key. This means Zaplog is technically capable of recovering archived message history. This is a deliberate product decision, and it is disclosed in the app's encryption settings and in our Privacy Policy.
  2. The other person's device. Once a message reaches its recipient, it is on their device. They can screenshot it, forward it, back it up, or keep it after you delete it. Encryption protects the message in transit and at rest on our servers; it cannot control what a recipient does.

Nothing in Rooms is end-to-end encrypted, including Room channel chat and Room direct messages. Neither are ZapCloud, Notes, Organized, ZapFit, Zaplog AI conversations, Stories, browser data or your profile.

7.2 Calls

Calls are transported by a third-party real-time media provider. Zaplog does not record calls and provides no recording feature. Do not record a call using other means unless every participant has consented and recording is lawful where all participants are located — many US states and many countries require all-party consent.

Screen sharing transmits whatever is on your screen. Close anything you do not intend to show.

7.3 Live location

Live location sharing transmits your precise location to the chat until you stop it or the timer expires. Only share it with people you trust. Zaplog is not a personal-safety or emergency service — do not rely on it in an emergency; call your local emergency number.

7.4 Screenshot notifications

Zaplog may tell the other participant in a chat when a screenshot or screen recording is taken. Android and iOS both report this to the app; the web client cannot detect it at all. This is a courtesy signal, not a security control, and it can be defeated on any platform — a second phone photographing the screen defeats it everywhere. Do not treat it as protection for sensitive content.

7.5 Disappearing and view-once messages

These reduce persistence; they do not guarantee it. A recipient can photograph a screen with another device, on any platform. Treat disappearing messages as a convenience, not a guarantee.

8. SMS and MMS

This section applies to Android only. Apple does not permit third-party apps to handle SMS on iOS, and the web client has no SMS role — so if you use Zaplog on iOS or the web, none of this applies to you.

If you set Zaplog as your default SMS app on Android:

  • Zaplog reads, writes, sends and receives SMS and MMS through your device's system message store. This content is not uploaded to Zaplog's servers.
  • Your carrier's message and data rates apply. SMS and MMS you send through Zaplog are carrier messages, not Zaplog messages, and Zaplog charges nothing for them but cannot waive carrier charges.
  • Delivery, timing and reliability of SMS and MMS depend entirely on your carrier and the recipient's. Zaplog does not guarantee delivery.
  • Zaplog does not support emergency services. You cannot text or call emergency services through Zaplog's own messaging or calling features, on any platform. Use your device's native dialler.
  • You may change your default SMS app at any time in Android Settings. Doing so does not affect the rest of Zaplog, on any platform.
  • You are responsible for complying with anti-spam laws — including the US Telephone Consumer Protection Act and the CAN-SPAM Act, and equivalent laws elsewhere — when sending messages through Zaplog.

9. Rooms — community terms

9.1 Rooms are user-run

Rooms are communities created and moderated by users, not by Zaplog. A Room's rules, culture and moderation decisions are set by its owner and moderators, subject to these Terms and our platform policies.

Zaplog does not endorse any Room or its content. Content in a Room is the responsibility of the person who posted it.

9.2 Creating a Room

  • You must be 18 or older to create a Room.
  • As a Room owner you are responsible for your Room complying with these Terms, and for moderating it in good faith.
  • You must not use a Room name, description, icon or banner that impersonates a person or organisation, or that is deceptive, hateful or sexually explicit.
  • We may rename, restrict, transfer or remove a Room that violates these Terms, is used to evade enforcement, or is abandoned.

9.3 Moderators

If you moderate a Room:

  • You act voluntarily, not as an agent, employee, partner or contractor of Zaplog, and you are not compensated by Zaplog.
  • You must enforce these Terms and your Room's own rules consistently and in good faith.
  • You must not use moderation powers for harassment, extortion, or personal or commercial gain — including selling moderator positions, selling pinned posts, or accepting payment to remove or promote content without disclosure.
  • You must not misuse member data you can see through moderation tools.
  • Your moderation actions are logged and may be reviewed by Zaplog.
  • We may remove your moderator status at any time.

9.4 Public content

Content in a public Room may be visible to anyone, including people without a Zaplog account, and may be indexed, cached, quoted or archived by third parties outside our control. Do not post anything in a public Room that you would not want to be permanent and public.

9.5 Age gates

A Room's minimum age is either 13, which is Zaplog's own minimum and the default, or 18 for an adults-only Room. The gate is checked against the date of birth on your profile. Circumventing an age gate — including by supplying a false date of birth — violates these Terms.

9.6 Room bots

Room owners may configure moderation bots. If you operate a bot:

  • The bot's actions are your actions under these Terms, and you are fully responsible for them.
  • The bot must operate transparently within the Room it serves and must not be used to spam, harass, manipulate votes, scrape data, or evade enforcement.
  • The bot must respect rate limits and must not attempt to interact with Zaplog outside the supported bot interfaces.
  • We may disable any bot at any time.

9.7 Voting, Boost points and awards

Vote honestly. Do not manipulate votes, buy or sell votes, Boost points, awards or accounts, or organise vote brigades. We may reset Boost points, remove awards or restrict accounts involved in manipulation.

Invite links (zaplog.net/<code>) are yours to share, but you are responsible for who you invite. Mass-distributing invite links as spam violates these Terms.

9.9 Appeals

If content is removed or your account is restricted, you may appeal — Room-level actions to the Room's moderators through modmail, and platform-level actions to Zaplog's Trust & Safety team via modmail or support@zaplog.ai. Appeals receive human review.

10. AI features — Zaplog AI and Zappy

10.1 What the AI features are

Zaplog AI answers questions, searches the web, runs Deep Research, generates images, and produces reports. Zappy is an assistant in your Chats that can read and act across Zaplog and any accounts you connect to it. AI also powers meal scanning in ZapFit, planning in Organized, summarisation in Notes, translation and recaps in Chats, and page assist in the browser.

All of these run on models hosted by our AI provider. Your prompts and the content you attach or ask about are transmitted to that provider to produce your output.

10.2 AI output is not reliable and is not advice

AI output can be wrong, incomplete, outdated, biased or entirely fabricated, including citations and figures that look authoritative. You must independently verify anything you rely on.

AI output is not:

  • Medical, psychological or nutritional advice, diagnosis or treatment;
  • Legal advice;
  • Financial, investment, tax or accounting advice;
  • Professional advice of any kind.

Consult a qualified professional. Do not use Zaplog's AI features in any situation where an error could cause injury, death, financial loss or legal harm. Do not use them for emergency, medical, safety-critical, or high-stakes decisions.

10.3 Ownership of AI output

As between you and Zaplog, you may use output generated in response to your prompts, and we do not claim ownership of it.

Be aware that:

  • AI models can produce similar or identical output for different users. Output may not be unique to you and may not be protectable by copyright in your jurisdiction.
  • Output may unintentionally resemble existing works. You are responsible for checking that your use of output does not infringe anyone's rights.
  • Generated images may not be usable in all commercial contexts; check the requirements of any platform you publish to.

10.4 Rules for using AI features

You must not use Zaplog's AI features to:

  • Generate content that violates section 6;
  • Generate sexual content involving minors, or non-consensual sexual imagery of real people;
  • Create deepfakes or synthetic media of real people intended to deceive;
  • Generate content designed to harass, defraud, or impersonate;
  • Develop weapons, malware or tools for unauthorised access to systems;
  • Circumvent safety systems, extract system prompts, or attempt to jailbreak the models;
  • Automate bulk generation for spam, scraping or resale of model access;
  • Provide unlicensed professional services to third parties, presented as your own expertise.

We may rate-limit, restrict or terminate access to AI features for violations, and our AI provider's own acceptable-use rules apply in addition to these Terms.

10.5 Zappy — acting on your behalf

Zappy can take actions across your Zaplog data and, if you connect them, your Google or Microsoft accounts — reading and sending email, creating calendar events, editing files, sending messages, logging health data and more.

By using Zappy you acknowledge that:

  • Actions Zappy takes at your instruction are your actions. You are responsible for them, including messages Zappy sends and changes it makes to your connected accounts.
  • Zappy may misinterpret an instruction and act in a way you did not intend. Confirmation prompts and the "trusted actions" and "trusted people" settings exist to reduce that risk, and you should keep them enabled.
  • If you pre-approve categories of action, you accept the risk of those actions being taken without a further prompt.
  • Automations you create will run on a schedule or trigger without further review. Review them periodically.
  • Zappy's memories persist and influence later responses until you clear them.
  • You must not use Zappy to send messages to people who have not consented to receive them, to access accounts you are not authorised to access, or to perform any action that would violate section 6.
  • You must comply with Google's and Microsoft's terms when using their connectors, and you may revoke Zaplog's access from those providers at any time.

We are not liable for the consequences of actions you instructed Zappy to take, or for actions taken under permissions you granted it, except to the extent caused by our own gross negligence or wilful misconduct.

10.6 Web search and page fetching

Zaplog AI retrieves and summarises web pages. Summaries reflect the source, including any errors or bias in it. Following a link takes you to a third party governed by its own terms. We do not endorse fetched content and are not responsible for it.

11. ZapFit — health and wellness disclaimer

ZapFit is a general wellness and fitness tracking tool. It is not a medical device and it is not a substitute for professional medical care.

You acknowledge and agree that:

  • Nothing in ZapFit is medical advice, diagnosis or treatment. Calorie targets, macronutrient splits, weight goals and fasting suggestions are generic calculations from figures you supplied, not clinical recommendations.
  • AI meal scanning produces estimates. Portion sizes, ingredients and nutrient values estimated from a photo or a label can be significantly wrong. Do not rely on them where accuracy matters medically — for example for diabetes management, renal diets, or any condition requiring precise nutrient control.
  • Allergy and dietary information is not a safety control. ZapFit's records of your allergies and avoided foods are for your own reference. Never rely on Zaplog to determine whether a food is safe for you. Read labels and ask the people who prepared your food.
  • Health-store data imported from other apps and devices — through Health Connect on Android, or Apple Health on iOS — is as accurate as its source. We do not verify it, and we do not verify the scales, watches or apps that wrote it.
  • Fasting features may be unsuitable for you. Do not fast if you are pregnant or breastfeeding, have a history of disordered eating, have diabetes or another metabolic condition, or take medication affected by fasting, without your clinician's approval.
  • Weight and body-composition tracking can be harmful for people with a history of disordered eating. If tracking these figures is affecting your relationship with food or your body, stop using the feature and talk to a professional.

Consult a qualified healthcare provider before starting any diet, fasting or exercise programme, and before acting on anything ZapFit shows you. If you experience a medical emergency, call your local emergency number.

You use ZapFit at your own risk.

12. Organized — planning, mood and cycle tracking

  • Mood check-ins are a self-reflection tool. They are not a mental-health assessment, screening instrument or treatment. If you are struggling, please talk to a qualified professional or a crisis line in your country.
  • Menstrual cycle logging and phase prediction are estimates based on the dates you enter. They are not a contraceptive method, a fertility treatment, or a diagnostic tool. Do not use Zaplog to prevent or achieve pregnancy. Cycle predictions can be wrong, and irregular cycles, medication, illness and many other factors affect them.
  • Cycle and mood data are stored on our servers and are not end-to-end encrypted. If you are concerned about the legal or personal risk of storing reproductive-health information with a US-based service, consider not using this feature. Our Privacy Policy sets out how we treat this data and the limits on our disclosure of it.
  • Alarms, reminders and focus timers depend on your device's operating system, its battery and background-activity settings, and the permissions you granted. Android and iOS schedule them differently and both impose limits we do not control; the web client depends on your browser being open and permitted to notify you. They may not fire on any platform. Do not rely on Zaplog for anything where a missed reminder has serious consequences — medication, legal deadlines, or safety-critical tasks.
  • Calendar import is read-only from your device calendar on Android and iOS; the web client has no device-calendar access. Zaplog does not modify your device calendar unless you use a Zappy connector that you authorised for that purpose.

13. ZapCloud — storage terms

13.1 ZapCloud is not a backup service

ZapCloud is a sync and storage feature. It is not a guaranteed backup, and it is not an archival service. You are responsible for maintaining independent copies of anything you cannot afford to lose. We are not liable for loss of or damage to files stored in ZapCloud, to the fullest extent the law allows.

13.2 Storage limits and fair use

We may set and change storage quotas, file-size limits, upload rate limits and total-usage limits at any time. We may restrict uploads if your usage is disproportionate or appears designed to abuse the service.

13.3 Trash and deletion

Deleted items sit in Trash for 30 days, after which they and their underlying stored files are permanently purged and cannot be recovered. You can empty Trash sooner. Deleting a file removes it from your devices when they next sync.

If you create a share link, anyone who has that link can access the file, subject to any password or access-count limit you set. Links can be forwarded beyond the people you gave them to. You can revoke a link at any time, but you cannot recall copies already downloaded.

13.5 Content rules

Files you store in ZapCloud are subject to section 6. Storing infringing or illegal material in ZapCloud violates these Terms, whether or not you share it. We may remove content that violates these Terms and, where required by law, report it to authorities.

13.6 Camera backup

If you enable camera or photo backup, Zaplog uploads the photos and videos you have given it access to — whole folders on Android where you grant that permission, and the photos you select on iOS. Review that selection before enabling it. You control whether uploads may use cellular data — charges from your carrier are your responsibility.

14. Pod, Discover and the web browser — third-party content

14.1 Podcasts

Podcast catalogue data comes from a third-party provider; audio, artwork and transcripts come from each show's own feed and hosting provider. Zaplog does not create, own, endorse or control podcast content, and podcasts may contain material you find objectionable. Downloading and streaming are subject to the podcast publisher's own terms. Do not use Zaplog to redistribute podcast content in violation of the publisher's rights.

14.2 Discover

Headlines and article metadata come from a third-party news aggregator. Zaplog does not write, verify, endorse or control news content. Opening an article takes you to the publisher's site, governed by its terms.

14.3 Web browser

The built-in browser lets you access the open web. Zaplog does not control, endorse or take responsibility for any website you visit. You are responsible for your browsing and for complying with the terms of sites you use. Our tracker blocklist is a best-effort convenience and blocks neither everything nor perfectly. Private browsing prevents local history and sync — it does not hide your activity from your network, your internet provider, your employer, or the websites you visit.

14.4 GIFs and stickers

GIF and sticker search results come from a third-party provider and are not reviewed by Zaplog before you see them. Report anything inappropriate.

15. Notes, Stories and other features

  • Notes sync to your account and are not end-to-end encrypted. Voice transcription runs on your device; AI summarisation and writing tools transmit the note text to our AI provider when you invoke them.
  • Stories are visible to the audience you select for 24 hours. Viewers can screenshot or record them. In the current release, story records and media may remain on our servers after the 24-hour display window until you delete the story or your account — see the Privacy Policy.
  • Stickers you create must not infringe anyone's rights or violate section 6.
  • Levels and StarLevel progression is a cosmetic feature based on your usage. Levels, Boost points, awards and any similar in-app status have no monetary value, are not property, cannot be transferred or sold, and may be reset, changed or removed at any time.
  • Widgets, share targets and notifications depend on your operating system and its settings, and behave differently on Android, iOS and the web. They may not behave consistently across your own devices.

16. Third-party services and connected accounts

Zaplog integrates with third-party services, including our infrastructure, AI, real-time calling, SMS, maps, GIF, podcast, news and nutrition providers, and — if you choose — your Google or Microsoft account.

  • We are not responsible for third-party services, their availability, their accuracy, or their handling of your data beyond our contractual arrangements with our own providers.
  • Connected accounts: when you connect Google or Microsoft to Zappy, you authorise Zaplog to act within the scopes you approved. You may revoke that access at any time in Zaplog and in your Google or Microsoft security settings. Your use of those services remains governed by their terms.
  • Health Connect: your use is subject to Google's Health Connect terms and policies in addition to these Terms.
  • App stores: if you obtained Zaplog from Google Play or the Apple App Store, that store's terms also apply to the distribution of the app and to any purchase you make inside it. See section 17.12.
  • Stripe: payments made on the web client are processed by Stripe, subject to Stripe's own terms.
  • Third-party services may change or discontinue their offerings, which may change or remove Zaplog features that depend on them.

17. Zaplog Pro — subscriptions, payments and chargebacks

17.1 What is free and what is paid

Zaplog is free to use. Messaging, calls, Rooms, podcasts, notes, the planner, the browser and the core of every module are free, and we intend to keep them that way.

Zaplog Pro is an optional paid subscription that unlocks the features marked as Pro in the app. What Pro includes is shown in the app and may change over time; if we remove something material from Pro, section 17.5 applies.

You never have to subscribe, and choosing not to does not reduce your privacy, your storage of existing content, or your standing in any Room.

17.2 Where you can subscribe, and who takes the money

Zaplog never sees your card number. Payment details are entered with Stripe, Google or Apple and held by them.

Buy once. A subscription bought on one platform unlocks Pro everywhere you are signed in. Do not subscribe twice — if you accidentally hold two subscriptions, contact support@zaplog.ai and we will help you cancel one and seek a refund for the overlap.

17.3 Auto-renewal — please read this

Zaplog Pro renews automatically. Unless you cancel, your subscription renews at the end of each billing period and your payment method is charged the then-current price for another period. This continues until you cancel.

Before you first subscribe, the app will show you the price, the billing period, and the fact that it renews automatically. Your subscription starts as soon as payment is taken.

You can see your current period end date at any time in Settings → Zaplog Pro.

17.4 Free trials and promotional pricing

If we offer a free trial or an introductory price:

  • The terms — its length, what happens at the end, and the price afterwards — are shown before you start it.
  • Unless you cancel before the trial ends, it converts into a paid subscription and your payment method is charged.
  • Trials and promotions are one per person, not one per account. Creating accounts to repeat a trial is a breach of these Terms and we may withdraw Pro without refund.
  • We may end or change a promotion at any time for people who have not yet taken it up.

17.5 Price changes

We may change the price of Zaplog Pro. If we do:

  • We will give you at least 30 days' notice before the new price applies to you, in the app and by email where we have one.
  • The new price takes effect at your next renewal after the notice period, never mid-period.
  • If you don't accept the new price, cancel before it takes effect. Continuing past that date is acceptance.
  • Where the law or an app store requires your express consent to a price rise, we will ask for it, and your subscription will not renew at the new price without it.

We will not increase the price of a period you have already paid for.

17.6 Taxes

Prices may exclude VAT, GST, sales tax or similar charges, which are added where applicable based on your billing location. Where an app store or our payment processor collects and remits tax on our behalf, their determination of the amount applies. You are responsible for any tax on your use of the Services other than taxes on our income.

17.7 Cancelling

You can cancel at any time.

  • Bought on Android — cancel in Google Play → Subscriptions.
  • Bought on iOS — cancel in Settings → Apple Account → Subscriptions.
  • Bought on the web — cancel in Settings → Zaplog Pro.

Cancelling stops the next renewal. You keep Pro until the end of the period you have already paid for, and then it ends. We do not cut you off on the day you cancel.

17.8 Refunds

Store purchases. Refunds for subscriptions bought on Android or iOS are handled by Google and Apple under their own policies, on their own timelines. We cannot issue or force a refund for a store purchase, though we will support a request you make to them.

Web purchases through Stripe. Our policy:

  • Within 14 days of a charge, we will refund it in full on request, for any reason, unless you have already been refunded for a previous period. Just ask at support@zaplog.ai.
  • After 14 days, the current period is generally non-refundable and your cancellation takes effect at the end of it.
  • Always refundable, whenever you ask: a charge you did not authorise, a duplicate charge, a charge after a valid cancellation, a renewal at a price we failed to give you proper notice of, and any period during which Pro was unavailable through our fault for a sustained time.
  • Nothing here limits your statutory rights. Where your local consumer law requires a refund, that law wins over this section.

We aim to answer refund requests within five business days and to return the money within ten once approved.

17.9 Failed payments, grace periods and expiry

If a renewal fails, your subscription moves through these states, and the app tells you which one you are in:

We follow the retry and grace-period rules of whichever store or processor took the payment. We do not add late fees, interest or collection charges.

17.10 What happens when Pro ends

When Pro ends — by cancellation, expiry, or a dispute under 17.11:

  • Your content is not deleted. Messages, files, notes, Rooms, health logs and planner entries stay where they are.
  • Pro-only features stop working, and any Pro-only limits revert to the free limits.
  • If you are over a free limit — for example, storage — we will not delete anything. You keep read access and the ability to download and delete, and uploads are paused until you are back under the limit or you resubscribe. We will tell you before this happens.
  • Resubscribing restores Pro immediately.

17.11 Chargebacks and payment disputes

A chargeback is when you ask your bank or card issuer to reverse a payment. You have every right to do that. But it is the slowest and bluntest way to fix a billing problem, so please read this before you use it.

Talk to us first. Email support@zaplog.ai with "Billing" in the subject line. We can usually refund a charge within days. A chargeback typically takes 60 to 90 days to resolve and, because the bank makes the decision, neither of us controls the outcome. We would much rather refund you than fight your bank.

What happens when a dispute is opened. When we receive notice of a chargeback on a web purchase:

  1. Pro is suspended immediately on the account the disputed payment relates to, for the duration of the dispute. The rest of your Zaplog account keeps working normally.
  2. Your content is not touched. We do not delete, lock or hold your messages, files or any other data over a payment dispute, ever. You keep full access to everything you created.
  3. We may respond to the dispute with evidence — your subscription record, our billing event log, the date and amount of the charge, the cancellation state of your subscription, and records showing the service was made available to you. We use this only to answer the dispute.
  4. We will contact you at the address on your account to try to resolve it directly. A dispute can be withdrawn at any point before it is decided, and we will still refund you if a refund is owed.

If the bank decides in your favour, the payment is reversed, the subscription ends, and you owe us nothing.

If the bank decides in our favour, the charge stands. We will restore Pro for the period you paid for if you ask us to. We also incur a non-refundable dispute fee from our payment processor whether we win or lose. Where a dispute was opened in good faith over a genuine billing problem, we absorb that fee. Where a dispute was opened over a charge you did in fact authorise and receive the service for, we may require the disputed amount and the fee to be settled before restoring Pro.

Repeat or abusive disputes. Disputing charges you authorised, as a substitute for cancelling, is a breach of these Terms. Where that happens repeatedly or is clearly deliberate, we may permanently block the account from buying Pro, require payment by a method that cannot be disputed, and in serious cases — for example, disputes tied to stolen payment credentials — suspend or terminate the account under section 20.

Disputes on store purchases. If you bought Pro on Android or iOS, a dispute goes through Google or Apple, not us. We act on whatever the store tells us: if they reverse a purchase, Pro ends. Ask the store for a refund before disputing with your bank — it is faster, and a bank dispute on a store purchase can put your entire store account at risk, not just Zaplog.

Fraud on your card. If someone else used your card to buy Zaplog Pro, tell us at support@zaplog.ai as well as your bank. We will refund it without argument and help you secure the account. That is not the kind of dispute this section is written to discourage.

17.12 App Store and Google Play terms

These apply if you obtained Zaplog, or bought Pro, through an app store.

Both stores. These Terms are between you and Zaplog Inc., not with Apple or Google. The store is not responsible for the Services or their content. Your use of the app must comply with the store's own terms of service and usage rules.

Apple specifically. Where you use Zaplog on iOS:

  • Apple has no obligation to furnish maintenance or support for Zaplog.
  • If Zaplog fails to conform to any applicable warranty, you may notify Apple, and Apple will refund the purchase price if one was paid. To the maximum extent permitted by law, Apple has no other warranty obligation in relation to Zaplog.
  • Apple is not responsible for addressing any claim by you or a third party relating to Zaplog, including product liability, failure to conform to a legal requirement, or consumer protection and privacy claims.
  • If a third party claims Zaplog infringes their intellectual property, Zaplog Inc., not Apple, is responsible for the investigation, defence, settlement and discharge of that claim.
  • You represent that you are not located in a country subject to a US Government embargo or designated as terrorist-supporting, and that you are not on any US Government prohibited-party list.
  • Apple and its subsidiaries are third-party beneficiaries of these Terms and may enforce them against you as they relate to your use of Zaplog on iOS.

Google specifically. Purchases made through Google Play are governed by the Google Play Terms of Service, and Google's refund policy applies to them.

17.13 If you are a consumer in the EEA or the UK

You have a statutory right to withdraw from a distance contract within 14 days without giving a reason.

Because Zaplog Pro is digital content and a digital service supplied immediately, when you subscribe you expressly request that supply begins at once and acknowledge that you lose the right of withdrawal once supply has begun — which is what the law permits, and what you consent to at checkout.

In practice, our own 14-day refund policy in section 17.8 gives you at least as much as the statutory right, so you can simply ask for a refund. Nothing in these Terms limits your statutory rights, including your right to a remedy where a digital service is not as described, not fit for purpose, or not supplied with reasonable care.

17.14 Other charges

Your carrier's data and message rates are always your responsibility, on every platform, and are nothing to do with your Zaplog subscription.

18. Intellectual property

18.1 Our rights

The Services — including the software, design, interfaces, "Zaplog", "ZapRooms", "ZapPodcasts", "ZapFit", "ZapCloud", "Zappy", "Organized", associated logos, and all related intellectual property — are owned by Zaplog Inc. and its licensors and are protected by copyright, trademark and other laws.

18.2 Your licence to use Zaplog

We grant you a limited, personal, non-exclusive, non-transferable, non-sublicensable, revocable licence to install and use the Zaplog application on Android and iOS devices you own or control, to access the web and desktop clients, and to use the Services, in accordance with these Terms. On iOS this licence is limited as Apple's App Store Terms of Service require, including their restrictions on sharing an app across devices and accounts.

18.3 What that licence does not permit

You may not: copy, modify, translate or create derivative works of the Services; reverse engineer, decompile or disassemble them except where that right cannot be excluded by law; remove proprietary notices; rent, lease, lend, sell, sublicense or distribute the Services; use our trademarks without written permission; or use the Services to build a competing product.

18.4 Open source

The Zaplog application includes open-source components licensed under their own terms, which take precedence over this section for those components. A list of components and licences is available in the app and on request from support@zaplog.ai.

20. Enforcement, suspension and termination

20.1 What we may do

If we believe you have violated these Terms or the law, or that your conduct risks harm to other users, third parties or Zaplog, we may — with or without notice, and at our discretion:

  • Remove or restrict access to content;
  • Apply a warning, a timed mute, or a rate limit;
  • Restrict specific features;
  • Remove moderator status or Room ownership;
  • Suspend or terminate your account;
  • Block your device or number from re-registering;
  • Report the matter to law enforcement.

20.2 Proportionality and notice

We aim to act proportionately and to tell you what happened and why. We may act without prior notice where the violation is severe (for example, child safety, credible threats of violence, or active fraud), where notice would frustrate an investigation, or where the law requires immediate action.

20.3 Appeals

You may appeal most enforcement decisions — see section 9.9. Appeals receive human review. We will not restore content that is illegal or that presents a serious safety risk.

20.4 Your right to stop

You may stop using Zaplog and delete your account at any time.

20.5 Effect of termination

On termination:

  • Your licence to use the Services ends immediately, on every platform and every linked device;
  • Your data is handled as described in the Privacy Policy, including the 30-day grace period for voluntary deletion;
  • Sections that by their nature should survive do survive — including sections 5.3, 5.6, 18, 19, 21 and 23.

20.6 Discontinuation of the Services

We may discontinue the Services or any part of them. If we discontinue the Services entirely, we will give you at least 30 days' notice where practicable and a reasonable opportunity to export your data.

21. Disclaimers, liability and indemnity

21.1 Disclaimer of warranties

THE SERVICES ARE PROVIDED "AS IS" AND "AS AVAILABLE", WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED.

To the fullest extent permitted by law, Zaplog disclaims all warranties, including implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement, and any warranties arising from course of dealing or usage of trade.

We do not warrant that the Services will be uninterrupted, timely, secure or error-free; that messages, calls, notifications, alarms or reminders will be delivered or will fire; that files will be preserved; that AI output will be accurate; or that defects will be corrected.

Some jurisdictions do not allow the exclusion of implied warranties, so some of these exclusions may not apply to you. Nothing in these Terms excludes or limits any warranty or right that cannot lawfully be excluded or limited, including consumer guarantees under the laws of the EEA, the UK, Australia and other jurisdictions.

21.2 Limitation of liability

TO THE FULLEST EXTENT PERMITTED BY LAW, ZAPLOG AND ITS OFFICERS, DIRECTORS, EMPLOYEES, AGENTS AND SUPPLIERS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF PROFITS, REVENUE, DATA, GOODWILL, OR OTHER INTANGIBLE LOSSES, arising out of or relating to your use of, or inability to use, the Services — whether based in contract, tort, negligence, strict liability or any other theory, and whether or not we were advised of the possibility of such damages.

OUR TOTAL AGGREGATE LIABILITY arising out of or relating to these Terms or the Services will not exceed the greater of (a) the total amount you paid Zaplog in the twelve months before the event giving rise to the claim, or (b) one hundred US dollars (US $100).

These limitations apply even if a remedy fails of its essential purpose.

Nothing in these Terms limits liability for: death or personal injury caused by negligence; fraud or fraudulent misrepresentation; gross negligence or wilful misconduct; or any other liability that cannot be excluded or limited under applicable law. Some jurisdictions do not allow the exclusion or limitation of certain damages, so some of the above may not apply to you.

21.3 Your responsibility for your use

You are solely responsible for your conduct, Your Content, your interactions with other users, and anything you do or fail to do in reliance on the Services — including reliance on AI output, health estimates, cycle predictions, reminders and alarms, message delivery, and the availability of files.

21.4 Disputes between users

Zaplog is not a party to disputes between users, or between users and Rooms. We have no obligation to mediate them. If you have a dispute with another user, you release Zaplog and its affiliates from all claims, demands and damages of every kind arising out of that dispute.

21.5 Indemnity

You agree to indemnify, defend and hold harmless Zaplog and its officers, directors, employees and agents from and against any claims, liabilities, damages, losses and expenses — including reasonable legal fees — arising out of or connected with: (a) your use of the Services; (b) Your Content; (c) your violation of these Terms or of any law; (d) your violation of the rights of a third party, including intellectual property and privacy rights; (e) information about other people that you provided to us without a lawful basis; and (f) actions you instructed Zappy to take.

This does not apply to the extent the claim arises from our own gross negligence or wilful misconduct, and it does not apply where the law prohibits such an indemnity from a consumer.

22. Changes to these Terms

We may update these Terms as Zaplog changes.

  • We will revise the "Last updated" date and increment the version.
  • For material changes, we will give notice in the app and, where we have your email address, by email, at least 30 days before they take effect, unless a shorter period is required by law or the change is needed to address a security or legal issue.
  • Changes do not apply retroactively to disputes that arose before the change took effect.
  • If you do not agree to a change, stop using Zaplog and delete your account before the change takes effect. Continuing to use Zaplog after that date means you accept the updated Terms.
  • Previous versions are available on request from support@zaplog.ai.

23. General provisions

23.1 Entire agreement. These Terms, together with the Privacy Policy and any supplementary terms, are the entire agreement between you and Zaplog about the Services, and supersede any prior agreements.

23.2 Severability. If any provision is held unenforceable, it will be modified to the minimum extent necessary to make it enforceable, or severed if it cannot be, and the rest of the Terms remain in effect.

23.3 No waiver. Our failure to enforce a provision is not a waiver of it. A waiver is effective only if in writing and signed by us.

23.4 Assignment. You may not assign or transfer these Terms or your account without our written consent. We may assign these Terms in connection with a merger, acquisition, reorganisation or sale of assets, or to an affiliate.

23.5 No third-party beneficiaries. Except for Zaplog's affiliates, officers, directors, employees and agents in section 21, these Terms create no third-party beneficiary rights.

23.6 Force majeure. Neither party is liable for failure to perform caused by events beyond its reasonable control, including natural disasters, war, terrorism, labour disputes, government action, internet or carrier failures, and provider outages.

23.7 Notices. We may give you notice in the app, by push notification, by SMS to your registered number, or by email if you have added one. You give us notice at support@zaplog.ai, or by post to the address in section 24. Notice is deemed received 24 hours after sending electronically, or three business days after posting.

23.8 Export and sanctions. You must comply with all applicable export-control and sanctions laws. You represent that you are not located in, and not a national or resident of, a country subject to comprehensive US sanctions, and that you are not on any US government restricted-party list.

23.9 US government users. The Services are "commercial computer software" under FAR 12.212 and DFARS 227.7202. Government use is subject to these Terms.

23.10 Language. These Terms are written in English. Any translation is provided for convenience; the English version controls in the event of conflict, except where local law provides otherwise.

23.11 Relationship. Nothing in these Terms creates a partnership, joint venture, employment or agency relationship between you and Zaplog. Room moderators and bot operators are not agents of Zaplog.

23.12 Headings. Headings are for convenience only and do not affect interpretation.
